Shift scheduling and TES compliance in one tool

Traditionally, shift scheduling and TES (collective bargaining agreement) compliance checking are two separate steps. First the roster is planned, then it is checked — either manually or in payroll — to see whether it follows the rules.

In Vuoron, these two steps are combined. TES rules are checked during planning, not after the fact.

How it works in practice

Vuoron’s roster view is a visual weekly calendar where the planner builds the roster by dragging and editing shifts.

As the roster takes shape, Vuoron automatically checks:

Rest periods. If the gap between an evening shift and the next day’s morning shift falls below the TES-required daily rest period, the system flags the violation immediately — before the roster is published.

Overtime limits. Daily and weekly overtime are calculated in real time. The planner can see when an employee’s hours are approaching or exceeding the threshold.

Working time limits. Total working time per period is tracked automatically. Limit breaches are visible in the planning view.

In practice, this means the planner sees problems when something can still be done about them — not three weeks later in payroll.

Building a roster

Building a roster in Vuoron follows a straightforward workflow:

  1. Select the week and venue. The view shows the staff for that venue.
  2. Add shifts. Start and end time, role or task.
  3. See TES checks in real time. Violations and warnings appear immediately.
  4. Manage open shifts. If a shift is unfilled, it is marked as open — visible to those who can take it.
  5. Publish. The finished roster is published to employees, who see their own shifts in the My Shifts view.

Shift swaps

Shift swaps are everyday reality in the experience industry. In Vuoron, the process is controlled:

  • The employee requests a shift swap in the system
  • The manager approves or rejects
  • The roster updates automatically
  • TES checks are re-run after the swap

This means a shift swap does not accidentally violate a rest period rule or exceed a working time limit — because the system checks the consequences of the swap before approval.

Open shift management

Not all shifts are always filled. Sick absences, unexpected needs, and seasonal variation create open shifts.

In Vuoron, open shifts are visible to employees who can indicate their interest. The manager approves the best fit. This is a faster process than making individual calls and sending messages.

The payroll chain

Once the roster has been carried out — employees have clocked in and out via the kiosk view — actual hours are ready for payroll.

Vuoron automatically calculates:

  • Overtime compensation in accordance with the TES
  • Evening, night, and Sunday premiums
  • Other allowances and premiums

The calculated pay breakdown is exported directly to Netvisor (payroll software). No manual entry is needed.

The entire chain — planning, actual hours, TES calculation, Netvisor — is one continuous process.
