Tracking actual working time is the foundation of payroll. If the hours are wrong, nothing else will be right — not overtime calculation, not premium calculation, not the pay breakdown.

Traditionally, time tracking means paper forms, Excel spreadsheets, or a trust-based system where no one actually records anything. Vuoron’s kiosk view offers a straightforward alternative: the employee clocks in and out with a single tap.

What is the kiosk view

The kiosk view is a dedicated screen in Vuoron, designed for one purpose: employee clock-in and clock-out.

In practice, it works like this:

1. A tablet or phone with the kiosk view open is placed in the venue’s break room or entrance.
2. The employee taps their name and clocks in.
3. The shift begins. The clock runs.
4. At the end of the shift, the employee clocks out.

That is all. No credentials, no complicated menus. One tap in, one tap out.

Automatic break detection

The kiosk view detects breaks automatically. When an employee has been on break for a defined period, the system logs the break. Break duration and handling follow the TES (collective bargaining agreement) and organisational rules.

This eliminates manual break logging — which is, in practice, the step most often skipped in traditional time tracking.

Offline support

The kiosk view works without an internet connection. If the connection drops, clock-in and clock-out events are stored locally and synchronised automatically when the connection returns.

This matters in venues where WiFi is not always stable — or where the kiosk device is located in a spot with weak signal.

Real-time tracking for managers

When an employee clocks in, the manager sees it in their dashboard immediately. The real-time attendance view shows:

• Who is currently at work
• Whose shift has started but no clock-in has been recorded
• Whose shift is about to end

This replaces phone calls and WhatsApp messages along the lines of “are you at work yet?” The information is visible without anyone needing to ask.

Actual hours vs. planned

The kiosk view clock-in records produce actual working hours, which Vuoron automatically compares against planned shifts.

This comparison is valuable for two reasons:

Payroll is based on actual hours. TES premiums and overtime are calculated from what was actually worked — not what was planned. The kiosk view data is the source data for payroll.

Deviations become visible. If an employee regularly works more hours than planned, the comparison shows it. This may mean the roster is understaffed — or that the role has changed.

Timesheets and approval

The kiosk view clock-in records automatically generate a timesheet per payroll period. The manager reviews and approves the timesheet before payroll processing.

The approval process is straightforward:

1. The manager sees the period’s hours per employee
2. Deviations (planned vs. actual) are highlighted
3. The manager approves — or corrects and approves
4. Approved hours move to payroll

This step ensures that incorrect data does not reach payroll. The manager acts as gatekeeper — but their work is light, because the data is already compiled and deviations are clearly visible.
